What exactly is compliance in a nursing agency setting?
Compliance means ensuring all healthcare workers have the proper documentation required for their specific specialties prior to commencing any assignment and keeping the paperwork up-to-date even as they continue working.
What interests you about compliance?
The fact that I get to work with different healthcare associates and different clients from time to time. No monotony.
What skills do you think are most important in compliance?
Precision because records need to be accurate for proper follow-up and dedication because the job is not a fixed 9-5.
What was the most challenging issue you faced in compliance?
That would have to be the first time I had to ensure about 6 people were compliant for a same-day start. I knew how to divide my attention among all of them equally, as they were all priorities. I put in more hours in order to have them all be compliant and set for their start date.
Could you describe what makes an effective compliance system?
Proper client-agency-healthcare associate communication is necessary for an efficient compliance process, as well as clear requirements/compliance lists for particular assignments.
Can you tell me about a time when you had to manage risk?
On some occasions, some candidates are quite stubborn and do not want to spend money to get the proper documentation required for the assignment, which would mean being canceled. If a candidate is willing and dedicated to actually start working, we ask them to pay for the paperwork needed, and then we will reimburse them once they start working.
What is your typical day at work?
The morning has to be set aside for priority follow-up tasks like checking whether the HCAs that need to go to the clinic have gone or have at least scheduled an appointment. Next is checking all emails and taking action if needed. After that, I check every file assigned to me in order and priority of their start dates, making sure all documentation required for the specific assignment is on file and uploaded to the VMS for client review.
What is staffing?
Staffing is providing day-to-day nurses and care providers to clientele for the immediate need for various shifts on a particular day.
Which problem-solving skills have you used in your staffing role?
I was negotiating with the hospital to let a nurse work for a few hours that she was available and not be mandated to cover the full shift because they were in desperate need and she was the only available nurse ready to cover the shift.
Which onboarding programs or software do you use, and what is their effectiveness?
We mainly use Job Diva to onboard all candidates. It is easier to get the documentation once the HCAs upload it to the site, and we can review the paperwork before going back to the candidates to notify them of the pending items from the requirements/compliance list.
